Scope

This policy only covers the « JobAffinity Validation » companion mobile application, available on iOS and Android. It does not cover the jobaffinity.com website (dedicated policy) nor the JobAffinity software used through a web browser.

Application purpose

The application is a companion tool to the JobAffinity ATS, intended for field managers and recruiters. It enables on-the-go candidate review (accept, reject, view CV) and scanning of paper CVs received in-store or at the branch for import into JobAffinity.

The application requires an active JobAffinity account. All business data (candidates, jobs, stages) comes from and returns to your existing JobAffinity account.

Data processed locally on your device

JobAffinity login credentials: stored encrypted in your device's native secure area (iOS Keychain / Android Keystore), accessible only by the application and protected by the operating system. These credentials are only transmitted to the JobAffinity API for authentication.

Scanned paper CVs: images captured by the camera, stored temporarily in the application's local cache during PDF generation, then sent via your mail client for import into JobAffinity. Local files may be automatically purged by the operating system.

Action history: recent accept/reject actions performed from the application are stored locally for offline consultation. No transmission outside your device.

Settings: user preferences (integration email, per-process step configuration) stored locally.

Data transmitted to JobAffinity (via API)

The application communicates with the JobAffinity API to execute actions you trigger: viewing applications, changing a candidate's stage, rejecting a candidate, etc. These exchanges are real-time API calls authenticated with your credentials. No data is duplicated or stored on the application publisher's servers.

Data seen and manipulated belongs to your organization, which is a JobAffinity customer. Its processing is covered by the JobAffinity contract signed by your organization.

Data collected by the application itself

The application collects technical diagnostic data via the Sentry service:

• Crash data: error type, call stack, app version, device model, OS version.

• Performance data: screen latency, network errors.

This data is not linked to your identity, is not used to track you, and is used solely to diagnose and fix bugs.

No advertising or marketing tracking data is collected. No behavioral analytics SDK is embedded.

Permissions requested

Camera: required for the paper CV scan feature. Access is requested on first use and can be revoked at any time in your device's system settings.

No other sensitive permission (location, microphone, contacts, photo gallery) is requested.

Sub-processors

Sentry (Functional Software, Inc., United States): collection and storage of crash and performance reports. Transfers outside the EU covered by the European Commission Standard Contractual Clauses.

Apple (App Store) and Google (Play Store) for application distribution and updates.

JobAffinity (Intuition Software, France) for API communications.

Retention periods

Local credentials: until explicit logout or uninstallation of the app.

Locally scanned CVs: purged after sending or on device restart (system cache).

Sentry reports: 90 days (service default policy).

JobAffinity data: according to retention periods set on the JobAffinity platform side (see dedicated policy).

Your rights

You have the rights of access, rectification, erasure, restriction, objection, portability and withdrawal of consent provided by the GDPR.

Security

HTTPS encrypted communications with the JobAffinity API. Credentials stored in the native keychain / keystore (encrypted at the OS level). The application does not transmit your credentials to third parties.
